The diary and jobs
Book work into the diary, keep everything about a job in one place, and see your bookings on your phone.
Jobs
A job holds everything about a piece of work: the customer and site, engineers, bookings, quotes, invoices, photos, files and notes.
On a job page you can:
- change its stage, or click Move to the next stage
- Call the customer, get Directions to the site, Add photo or Add note
- Book in a visit, raise a New quote, or Invoice job
- under Photos and files, Take photo on a phone or choose photos, PDFs, Word or Excel files up to 20 MB each
Every change is kept under Notes and history.
The diary
Open Diary and pick Day, Week, Month or List. Filter by engineer, and colour bookings by engineer, job type or job stage.
- Book: click an empty slot, or click New booking.
- Move: drag a booking to another time or engineer.
- Make longer or shorter: drag its bottom edge.
In the booking form:
- What: a job visit, an appointment or survey, holiday or time off, or other. For a job visit, pick the job.
- When: a date and times, or All day for one or more whole days. Also book the next repeats it over following working days.
- Who: one or more engineers.
- Details: a status (booked, confirmed with customer, completed, cancelled) and notes for the engineer. Tick Move the job to "Booked" to update the job too.
Click Book it.
Your bookings on your phone
Each person can see their own bookings in their phone's calendar:
- Open My profile (click your name, then My profile).
- Under Your diary on your phone, click Copy.
- Follow How to add it for iPhone, Google Calendar or Outlook.
The calendar app refreshes it every 15 to 60 minutes. Keep the link private; if it's shared by mistake, click Make a new link.
The pipeline (Team and Business)
Pipeline shows every open job as a card in its stage. Drag a card to move it on. Moving a job to Lost or Cancelled asks for a reason. Filter by engineer, type or priority, or tick Needs attention.
