Invoices and payments

Invoice from a job or quote, send it, record payments and keep track of what's overdue.

Create an invoice

  • From a job: on the job page, click Invoice job. The accepted quote's lines are copied in.
  • From a quote: on the quote page, More, Create invoice from quote.
  • From scratch: Invoices, New invoice.

The editor works like the quote editor (see Quotes), plus Payment due, Customer ref or PO and Notes. Your bank details are added automatically from your company settings.

Send it

Click Send, check the email and click Send email. The customer's link shows the invoice, a Download PDF button and How to pay, with your bank details and the invoice number to use as the payment reference.

Sent it another way? Use More, Mark as sent. You can't record payments on a draft.

Record a payment

  1. On the invoice, click Record payment.
  2. Enter the Amount, Date paid, Method (bank transfer, card, cash, cheque or other) and a Reference if you have one.
  3. Click Record payment.

Part payments are fine: the invoice shows Part paid and the balance until it's settled.

Overdue invoices

Each day WireFlow notifies everyone who manages invoices when an invoice becomes overdue. The dashboard and Reports show what's owed in total.

Mistakes

  • A draft can be edited or deleted.
  • Once sent, use Edit for small corrections, or More, Void invoice and raise a new one. Voiding keeps a record for your accountant.
